The client

Location Live is the leading Live Media provider and commercialisation specialist. Established in 2012, they transform how brands discover and book experiential spaces, while maximising revenue for location providers. For over 14 years, they have helped global brands deliver engaging, real-world experiences across premium venues, transport hubs, retail destinations, and cultural landmarks.

Their platform, lo:live, allows hirers to search a vast database of live media assets, plan experiential marketing campaigns, and seamlessly book their chosen premium spaces with ease. On the commercialisation side of the platform, location providers and landlords upload their spaces – along with rich data and imagery to bring them to life. They can use sophisticated tools to manage and convert leads received directly through the platform, accepting reservations and bookings through a slick online portal. Location Live’s in-house sales and operations teams support transactions through a Django admin portal.

In 2020, Location Live requested COAX to take over and accelerate the development of the lo:live platform from another development partner. The initial task was to understand objectives, co-develop a fit-for-purpose backlog, and develop lo:live at an expedited pace. COAX grasped the project, fixed critical bugs, and delivered the first major release within 4 months.A successful release was just the beginning of a fruitful 5-year-long ongoing partnership between Location Live and COAX. Over the years, the client has continued to develop major platform features. With every new strategic epic, they came to us with fresh, bold ideas that needed our shaping and implementation.

One of the further challenges we overcame in partnership was improving the workflows from search to booking, and making campaign management more intuitive. Also, they estimated that their listing availability needed to be more visible, which we gladly helped them fix.

In 2023 – 2024, the client aspired to extend global reach for their platform and created a plan for Australian expansion and building white-label solutions for location provider business clients. This presented additional technical challenges to COAX that we proudly overcame in a close collaboration and constant feedback from Location Live.

Then, starting in late 2024, we collaborated on lowering landlord adoption barriers, improving self-service capabilities, and diversifying booking management tools. Later, the client presented us with a plan to cover some blind spots in analytics for internal teams and Location Live's landlord services team that we helped refine and implement.

Building upon almost five years of continuous development, COAX’s expertise has supported Location Live’s growth, resulting in lo:live maintaining its global reputation as the leading marketplace for finding and booking experiential assets. 

Over the past years, we have helped the client deliver significant platform advancements across these key areas:

  • Client portal uplift. In 2023, we released the redesigned hirer journey, improving campaign management systems, intuitive space search, filtering, and comparison tools, and messaging hubs for direct communication with locations.
  • Location portal uplift. Along with Location Live’s Product team, we conducted User interviews to understand their pain points, which were compiled into the uplift delivery plan. We completed a UI/UX redesign of the landlord interface in April 2025, improving listings availability management and providing users with an intuitive and efficient experience for managing and responding to booking/option requests. The results were fast: new landlord registrations nearly doubled in two years. This is a sign of how directly the improved experience lowered adoption barriers.
  • Creating market-leading digital rate card support for Landlords. We added flexible pricing control functionality that allows us to support different pricing models and provides the ability to set up dynamic pricing for future periods based on market needs. 
  • Analytics integration. We implemented Metabase integration, surfacing dashboards directly within the application for Location Live's internal solution teams. This gave them better access to data, custom reports, and performance metrics to help them support both hirers and landlords more effectively. Platform engagement data shows the impact: active users tracked through the system grew by over 789%. This confirmed that better tooling translates directly into deeper, sustained platform engagement.
  • Whitelabel platform offering. We developed a white-label version of the platform to allow a leading European location provider to independently market and sell hundreds of spaces across tens of malls. A global first. We have enabled a fully branded experience hosted on the same domain. This solution displays only the partner's assets while maintaining complete platform functionality, providing a tailored user experience that meets specific client requirements while using the robust backend infrastructure of the main platform. 
  • Landlord services operations platform. We created LO:OPs, an independent analytics service that provides thorough operational insights by combining data from MetaBase and backend systems. Internal teams access reports, metrics, user analytics, revenue tracking, and performance data for all campaigns and locations with this platform.

The system now has efficient end-to-end journeys for Location Providers and Hirers, campaign management tools with export capabilities, Metabase analytics for better data access and reporting, analytics dashboards, and optimised booking workflows.

COAX also helped with building a page for a (non-digital) business line. Location Live's Studio service provides bespoke location sourcing through expert consultants who handle complex venue requirements beyond standard offerings. The service includes site visit coordination, negotiation management, and end-to-end project support, delivering curated venue schedules and white-glove assistance throughout the activation process.

From the very beginning of our cooperation, COAX established strong project foundations through technical documentation and structured QA frameworks that kept all teams aligned. Responsive and efficient communication and feedback loops with lo:live's product team ensured we could navigate platform complexity while maintaining rapid delivery cycles from core functionality to advanced feature implementation.

Through our client’s hard work and commitment to succeed, the lo:live platform gained greater market traction, and we shifted our focus to delivering step-by-step upgrades.

Our modernisation focused on refining user journeys, improving UI/UX, and creating intuitive workflows that serve hirers and landlords. Each upgrade was delivered through modular development and phased releases, allowing us to test with real users, gather live data insights, and refine features without disrupting operations.

Getting started system

An interactive progress bar guides new users through their first platform experience with step-by-step onboarding. The system helps hirers learn to search the database of space listings and understand campaign management tools. For landlords, it covers setting up listings, configuring pricing models, and managing booking workflows. The onboarding improvements directly supported landlord growth. New location provider accounts rose steadily each year, reaching a record number of registrations in 2025 as self-service capabilities made joining the platform increasingly frictionless.

Advanced search, filtering, and flexible listing types

Hirers can search through over 2000 spaces across the UK and Europe using sophisticated filters for location, demographics, pricing, and real-time availability. The system displays space information with rich imagery and data. Filtering options allow precise targeting based on campaign and venue requirements. To accommodate different landlord preferences and venue types, landlords choose from three distinct listing models: full transparency with pricing and availability, pricing-only visibility, or price-on-application for premium spaces. This maximises exposure to hirers while giving location providers control over their pricing strategy. This experience drives consistent hirer engagement: the platform sustained approximately 97,000 searches per year across 2024 and 2025.

Campaign management system

Users can organise multiple spaces into comprehensive marketing campaigns with dedicated dashboards showing details, notifications, and activity logs. Users coordinate campaigns with multiple spaces, create flexible schedules, and move spaces between timelines. Each space will generate a unique booking under the same campaign. The system also allows exporting campaign information for stakeholder sharing, including campaign pack export into editable PowerPoint presentations for easy customisation and distribution. Campaign tool adoption has grown alongside the platform, with campaigns created having increased 140% from 2022 to 2025.

Enhanced booking flows

The booking process features step-by-step workflows that eliminate fragmented processes and dead-end scenarios. The system supports both options (preliminary reservations) and full bookings, providing flexibility for hirers planning activations. Clear stages guide users from initial interest to final booking confirmation with reduced complexity.

Dynamic pricing models

Landlords can implement sophisticated pricing strategies with custom weekend period definitions and consecutive booking day discounts. These pricing engines encourage longer reservations, helping maximise venue utilisation.

Integrated messaging hub

A centralised messaging system enables direct, contextual communication between hirers and landlords throughout the booking process. The hub facilitates negotiations, collaboration, and detailed coordination essential for successful brand activation planning. Users can discuss specific requirements, availability, and terms directly within the platform environment.

Operational dashboard

The LO:OPs panel provides analytics functionality that redirects users to the admin panel for administrative management. With centralised analytics, the workflows of the internal team was significantly simplified and informed. The panel currently serves as an analytics portal, with basic user management capabilities.

Analytics and reporting

Metabase integration provides comprehensive insights and data visualisation through the LO:OPs panel, with drill-down capabilities, period selectors for performance comparison, and automated report generation. The analytics functionality helps internal teams access custom reports, performance metrics, and data insights. On top of this, the Landlord interface features an end-to-end Hirer funnel and account record visualisation, core platform analytics, and location space dashboards capabilities.

Marketing and promotional features

The platform showcases popular destinations throughout cities across Europe and Australia to help users discover trending locations. A "Browse our collections" section displays categories with visual galleries to inspire campaign ideas. The platform also prominently features major client brands to demonstrate credibility.

Business outcomes

As a result of COAX's efficient two-way collaboration with the client, we gladly helped Location Live become a market-leading digital marketplace that has evolved into a global ecosystem for diverse markets. The platform's growth over the partnership period is reflected clearly in the numbers:

  • Campaigns created grew 140% from 2022 to a record number in 2025 as hirers embraced the platform's evolving campaign management tools.
  • Active engaged users surged 789% between 2023 and 2025, validating the impact of the redesigned hirer and landlord experiences.
  • New hirer accounts faced more than 16× growth over five years, confirming sustained demand.
  • New landlord registrations more than doubled from 2023 to 2025, reflecting the improved onboarding and the experience built through the location portal uplift.
  • Platform search activity stabilised at about 97,000 searches per year, demonstrating a high-intent engagement with the growing inventory of over 2,000 spaces.
